01 / The short version
Only what is needed to evaluate and deliver the work.
Kevin Automates collects the information you submit in service free-task requests and the portal so Kevin can evaluate, respond to, design, implement, and support workflow projects.
02 / What is stored
Project information—not your recording files.
Request answers, project status, structured requests and responses, confirmed implementation plans, meeting details, support issues, and an audit history are stored in the project database.
Service inquiries and free first-task requests store your contact and business details, workflow description, tools, desired outcome, optional volume and budget, timing, confirmations, and the page you submitted from. The offer you accepted, request status, internal follow-up notes, and email delivery records are stored in the restricted CRM. These records remain available unless deletion is requested and no legal or operational need requires retention.
Recording files are never uploaded here. Only their provider, access method, URL, attempt number, and expiration date are stored.
03 / Retention
Temporary evidence expires.
Recording links and temporary support evidence become unavailable after 90 days and are scrubbed during the next cleanup pass. Confirmed implementation plans, handoff materials, and core CRM records remain available unless deletion is requested and no legal or operational need requires retention.
04 / Access and email
Access is limited by design.
Customer portals use private email links that can be reopened for 12 hours and secure browser sessions. Kevin’s CRM is restricted by ChatGPT sign-in and a Kevin-only allowlist. Status emails contain no confidential workflow content.
Submitting a free-task request creates a private customer project and sends a confirmation email with secure access. It does not subscribe you to a marketing list.
05 / Analytics and ad measurement
Public-site activity is measured.
Google Analytics measures visits to our public pages and successful free-task requests, including which landing page generated a request. The OpenAI Ads Measurement Pixel measures successful requests so they can be attributed to ads in ChatGPT. The X Ads Pixel measures public-page visits and successful requests so they can be attributed to ads on X. Google Analytics uses cookies with a 60-day lifetime and receives technical information such as device and browser details. Event-level data is retained in Analytics for two months. User-level data is retained for 14 months, renewed by new activity; aggregate reports may remain longer. Public-page scrolls and outbound clicks are also measured.
The public site loads Google Analytics, the OpenAI Ads Pixel, and the X Ads Pixel automatically. We do not send your name, email, form answers, recording links, or CRM and customer portal activity to Google Analytics or X Ads. OpenAI’s automatic advanced matching may detect supported contact information on the public site, normalize it, and hash it with SHA-256 in your browser for ad attribution; raw customer information is not sent through that matching process. Workflow answers, recording links, and portal activity are not sent to OpenAI Ads. Advertising personalization and Google signals are disabled. OpenAI conversion events are opted out of future user-level personalization. Page addresses sent to Analytics exclude query strings and fragments. X receives the public landing-page address and a parameter-free lead event; its pixel may store the X click ID in a first-party cookie for up to 30 days for attribution.
Google’s privacy policy explains how Google processes information. OpenAI’s privacy policy explains how OpenAI processes information. X’s privacy policy explains how X processes information.
